I used to work for an HOA mgmt company in an Accounts Payables role. my staples invoices did not look like that and they ALWAYS had quantities on them. mind you this was back in 2023 but there is no way that the invoices don't have quantities right next to the items and also fishy that there is no price breakdown per item. someone is using white out/editing those invoices.

In my new community we pay for pool maintenance, which is fine. It was new community and new pool. They gave us the runaround and didn't open for 3yrs. But in the books they charged for $20k/yr in maintenance fees. When I asked about it they claimed permit issues, city inspections, delays.. Etc. When I told them why charge for $60k then they casually sent an email stating pool opening the following week 😂

those "invoices" are wild! I do bookkeeping, and yeah, it looks so suspicious, not a legit invoice at all. and then saw they have 2 cleaners on contract for 175K, but they don't get paid enough to add up to that? yikes on bikes.

I replaced a controller that was terminated for embezzlement. The response when the owner asked for a petty cash rec for the year with detail was exactly the same “it’s a lot of work and I’m busy”. If the accounting is clean, it’s a simple ask.

I buy supplies for 43 retail locations and I’m telling you, I spend maybe around $5000 per month on janitorial supplies. One of my vendors being Staples Advantage, that is not their invoices. Unless they are being billed by a third party there is no way.
